Submission Types & Requirements

Submission Type Descriptions

The AAS-in-Asia conference and call for proposals DOES NOT post pre-arranged topics for individual paper authors to submit. This conference consists only of already formed organised (paper) and roundtable sessions. Individual papers will not be considered. See below for a full description of proposal types

Note: Some organisers may need additional paper authors to complete their organised panel proposals. Individual paper authors may post interest to join a session and post a paper topic by posting in the Session Organisers seeking Participants FORUM (external link). Please note that a MyAAS website account (but not AAS membership) is required to post in the forum for those seeking panels/participants.

Organised Panel Sessions

This proposal type and session consist of formal paper presenters (3-5 papers maximum) within a 15-20 minute presentation, a chair and a moderator (discussant).

This session proposal type is submitted by the session organiser as a fully organised session complete with all paper presentation abstracts, a selected chair and discussant.

The session chair briefly introduces the panelists, ensures panelists keep to their allotted presentation time, and moderates the Q and A when needed. Ensuring equal time for all presenters is essential, and chairs must be prepared to end a presentation that will clearly exceed the allotted time by several minutes.

All organised panel session proposals should include a chair role. The role of the discussant is to facilitate a discussion among the panelists and attendees.

The abstracts provided for each prospective paper presentation are very important, but the overall panel abstract is of greatest importance.

The exact configuration of paper presenters and discussants is left to your discretion. See the Innovative Format section for more information. It is the preference of the Program Committee to receive proposals that comply with posted participation limits and still allow a reasonable amount of time for discussion.

Organisers may submit “two-part” or “back-to-back” panel proposals on related themes or topics but each proposal will be reviewed on its own merits. The Program Committee cannot guarantee acceptance of a series of panels, nor can it guarantee specific scheduling requests for accepted “two-part” or “back-to-back” panels.

Roundtable Sessions

A Roundtable is a session format at which no formal papers are presented. This format provides opportunities for participants with specific expertise to discuss with each other, and with members of the audience, issues or themes concerning a discipline or an Asian regional area. This session type consists of a chair and 4-5 panelists that serve as discussants.

Organisers may submit “two-part” or “back-to-back” session proposals on related themes or topics but each proposal will be reviewed on its own merits. The Program Committee cannot guarantee acceptance of a series of panels, nor can it guarantee specific scheduling requests for accepted “two-part” or “back-to-back” panels.

Individual Papers

The AAS-in-Asia Conferences does not accept Individual Papers for consideration. This conference is composed of only Organised panel sessions and roundtables. We encourage you to work with your colleagues to form an organised panel session. Need assistance? Post your interest by posting in the Session Organisers seeking Participants FORUM (external link).
